Administrative Assistant
The Position
We are looking for a versatile professional to serve as the Administrative Assistant within Grovewood Community Development’s office. Reporting to the Executive Director, you’ll provide support to the Grovewood Community Development office, accomplishing daily administrative functions, and assisting with office management. Your skill set should encompass professional communication, office management, bookkeeping and collaboration.

A Day in the Life
Administration
  • Oversee day-to-day office procedures and office supplies.
  • Primary point of contact for office vendors.
  • Initial contact for phone calls and messaging for the office.
  • Schedule and coordinate meetings and events logistics, secure venue and set up of audio/visual equipment and services, prepare and distribute materials, send event notifications and reminders, engage catering services, purchase meeting supplies, and other duties.
  • Provide administrative support to staff members, including scheduling appointments, meetings, assisting with events, and arranging travel and lodging.
  • Coordinate Information Technology systems, service, support, and equipment in collaboration with third-party administrator.
  • Perform clerical duties, including answering phones, maintaining, and updating records, mailing, faxing, filing, maintaining office equipment, and conducting inventory.
  • Assist with social media postings.
Finance   
  • Provide administrative support for accounts payable, bank deposits, financial software maintenance, recordkeeping, and report generation.
Collaboration
  • Create, foster, and maintain a positive and professional relationship with staff, third-party administrators and vendors, the Board of Directors, and service providers.
  • Assist with vendor communication, Board of Director notices and documents, attend Board of Director meetings and prepare minutes.
  • Provide various support for Healthy Lifestyle staff, and resident programs, events, and activities.
What You Bring to Us
  • Completion of a 2-year degree preferred, or any equivalent combination of education and/or experience.
  • A minimum of 2 years of experience in office administration; working in a small nonprofit organization, real estate development/lending, and/or property management company preferred; or any equivalent combination of experience, lived experience, and/or special skills.
  • Computer skills including Microsoft Office Suite, PowerPoint, and online video conferencing (including Zoom), Microsoft Office Teams, and other comparable virtual platforms are required. Basic skills in social media platforms, graphic design, (Canva), cloud storage service (Microsoft OneDrive), and document storage and management are preferred.
  • Organizational skills, written and oral communication skills, attention to detail, and ability to prioritize work and tasks. Adaptability to produce and meet deadlines in a fast-paced, multi-task and changing environment, and the ability to work independently and as part of a team.

Compensation
This is a hybrid, part-time (0.6), nonexempt, hourly position. The salary range is $20.00 – $25.00 per hour, based on knowledge, skills, and experience. The position includes Grovewood Community Development’s benefit package, including medical, dental, vision, life insurance, holiday pay and paid time off, on a pro-rated basis.

The Legal Stuff
You need to be able to sit or stand for 6 hours per day. While not frequent, you need to reach for, move and/or 25 pounds and use your hands to finger, handle, or feel objects, tools, or controls, mobility to access a wide variety of meeting and work settings, and to perform a variety of tasks that involve standing, walking, sitting, stooping, kneeling, bending, and twisting, occasionally climbing stairs or using an elevator, possibly reaching chest high and overhead for materials, with reasonable accommodation.
